Hearts in Rugby Union Foundation (“We” or “Our”) is committed to protecting your privacy and handling personal information in a transparent and secure manner.

We are a separate legal entity. While we may support rugby-related charitable activities or work alongside rugby organisations, we operate independently and are responsible for our own handling of personal information.

We may collect personal information including – but not limited to: your name, contact/address details, date of birth, and sometimes health information (for participants), as well as contact details, donation details, volunteer or participant information, event registration details, photographs or media content (with consent) and website usage information (for supporters), among other information.

Where required, we may collect additional information to comply with safeguarding, legal or regulatory obligations.

4.  Collection and use of Personal information

We collect personal information in a variety of ways, including when you make a donation, register for or participate in Foundation programs or events, subscribe to communications, volunteer, contact us through our website or email, or otherwise interact with us. We may also collect limited information automatically through our website, such as via cookies or analytics tools, to help us understand how our website is used and to improve its functionality.

The personal information we collect is used for purposes directly related to the Foundation’s charitable objectives and operations. This includes administering donations and fundraising activities, delivering and managing programs and events, communicating with supporters, volunteers and stakeholders, responding to enquiries, complying with legal, regulatory and safeguarding obligations, and maintaining accurate records. We may also use personal information to improve our services, communications and website, and for internal administrative purposes.

We may disclose personal information to: payment processors and IT service providers, Event management platforms, professional advisers and regulators or authorities where required by law.

We do not sell personal information.

Where relevant, limited information may be shared with rugby organisation solely for program delivery or safeguarding purposes, however those organisations are not responsible for our data practices.

We take reasonable steps to protect personal information from misuse, loss, unauthorised access or disclosure, including: Secure systems and platforms, Restricted access and Confidentiality obligations.

You may request access to, or correction of, your personal information by contacting us using the details above. We will respond within a reasonable timeframe.

If you have a privacy complaint, please contact us first. We will investigate and respond promptly. If you are not satisfied, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC)

9. Children and Safeguarding

The foundation is committed to safeguarding children and vulnerable participants. Personal information involving minors is handled with heightened care and in accordance with applicable safeguarding standards.

We may update this Privacy Policy from time to time. The current version will always be available on our website.
